How to Import a Spreadsheet Into LabelFlex® for Batch Printing
Turn your cable schedule into hundreds of print-ready Belden® labels in minutes, using data you already have in Excel or CSV format.
A large Belden® installation can involve hundreds of cable IDs, port numbers, and equipment labels. Most installers and project managers already have this data in a spreadsheet, whether it is a cable schedule from the design phase, a Fluke Networks® test export, or a simple numbering list built in Excel. The problem is getting that data onto physical labels without retyping every entry.
LabelFlex® solves this by importing spreadsheet data directly into the correct Belden label templates. Instead of typing each cable ID into a handheld printer one at a time, you load your file, match it to a label type, and print an entire sheet of labels in seconds. This guide walks through each import method, from basic copy-paste to full spreadsheet import with column merging.
1. Prerequisites
What You Need Before You Start
Before importing data, make sure you have three things ready: the LabelFlex® software installed on your PC, your cable schedule or ID list saved as a spreadsheet or CSV file, and the correct Belden label sheets loaded in your laser printer.
The import method available to you depends on your LabelFlex® software tier. All three tiers support copy-paste from any spreadsheet application. CSV import (with the ability to map and merge columns) requires LabelFlex® Advanced or Professional. Full .xls and .xlsx spreadsheet import, where you can view the data in a grid, select specific cells, and re-arrange contents, is exclusive to LabelFlex® Professional.

2. Import methods
Three Ways to Get Spreadsheet Data Into LabelFlex
Method 1: Copy and Paste (All Tiers)
The simplest approach. Open your cable schedule in Excel or Google Sheets, select the column of IDs you need, copy it, and paste directly into the LabelFlex® data entry area. The software populates the label list instantly. This works well for small to mid-size jobs where your data is already in a single column and does not need reformatting.
For example, if you have 48 port numbers in column A of your spreadsheet, select A1 through A48, press Ctrl+C, switch to LabelFlex®, and paste. In under a minute you have a full sheet of patch panel labels ready to print.
Method 2: CSV Import (Advanced and Professional)
For larger projects or multi-column data, the CSV import feature is significantly more powerful. Save your spreadsheet as a .csv file, then use the import tool in LabelFlex® to load it. The software lets you select which columns to use and, critically, merge multiple columns into a single label field.
This is where the real time savings start. Say your cable schedule has three columns: Rack (e.g., "MDF"), Panel (e.g., "B"), and Port (e.g., "03"). With CSV import, you can merge these into a single identifier like "MDF-B-03" without editing your original spreadsheet. LabelFlex® handles the combination automatically, applying any separator character you choose.

Method 3: Full Spreadsheet Import (Professional Only)
LabelFlex® Professional includes a full spreadsheet importer that opens .xls and .xlsx files directly. You see your data in a grid view, exactly as it appears in Excel. From there, you can select specific cells or ranges, choose the sort order (column order, row order, selection order, or alphanumerical), merge columns, and apply prefixes or suffixes before printing.
This method is built for high-volume Belden projects where the cable schedule may contain thousands of rows across multiple sheets. You can select just the rows you need for a particular build phase, print those labels, and return to the same file later for the next phase. The sort order options are especially useful: if your spreadsheet is organized by rack but you want to print labels grouped by panel, simply choose the appropriate sort before importing.

Tips for Large Belden Installations
Use Multiple Builds Per Job
On phased installations, you do not need to create a new LabelFlex® job for each build phase. The Advanced and Professional tiers support multiple builds within the same job. Import your Phase 1 cable schedule, print those labels, then add a second build for Phase 2 additions and changes. Everything stays in a single file, making it easy to track what has been printed and what remains.
Apply Prefixes and Suffixes Automatically
If your naming convention requires a consistent prefix (like "SW-" for switches or "FLR3-" for floor three), you do not need to add it to every row in your spreadsheet. LabelFlex® Advanced and Professional can apply prefixes, suffixes, and warning symbols automatically during import. This keeps your source data clean and makes it easy to adjust naming conventions without editing the original file.
Match Your Labels to the Right Template

Patch Panel Labels
Pre-cut strips that match Belden REVConnect, KeyConnect, and AngleFlex port spacing exactly. Label sheets like the AX107527 print 64 labels per sheet. Free PX-series labels also ship inside every Belden patch panel box.
Wrap-Around Cable Labels
Self-laminating polyester labels (AX107694 through AX107720) for cable identification. Print up to 72 labels per sheet. Tested from -40°F to 212°F with acrylic adhesive rated for long-term bonding.
Tie-On Cable Labels
Durable polyester tie-on labels (AX107700 through AX107705) for terminated cables. Available in white or yellow, with up to 48 labels per sheet. Print a full sheet in around 20 seconds.
Faceplate and Outlet Labels
Small-format labels for Belden KeyConnect faceplates and wall outlets. The AX101552 prints 80 labels per sheet. Match port IDs from your patch panel schedule to the outlet location for consistent end-to-end identification.
Preview Before You Print
Always use the print preview in LabelFlex® before sending labels to the printer. The preview shows exactly how each label will appear on the sheet, including text alignment, font size, and spacing. This is especially important when importing large datasets, as a missed column or incorrect merge can produce hundreds of incorrect labels. A quick preview check catches these issues before you waste label sheets.

Common Questions About Spreadsheet Import
Can I import directly from an Excel file, or do I need to convert to CSV first?
It depends on your software tier. LabelFlex® Professional imports .xls and .xlsx files directly with a full grid view. LabelFlex® Advanced imports CSV files, so you would need to save your Excel file as .csv first (File > Save As > CSV). On the Free tier, the fastest approach is to copy your column of IDs in Excel and paste them directly into LabelFlex®.
Can I print both cable labels and patch panel labels from the same spreadsheet?
Yes. Import your data once, then switch the label type in LabelFlex® without re-entering anything. For example, import your 48 port IDs, print them on a REVConnect patch panel strip, then switch to wrap-around cable labels and print the same IDs on self-laminating labels for the cables behind the panel. The data stays in the job.
What if my spreadsheet has columns I do not need on the labels?
Both the CSV importer and the full spreadsheet importer let you select only the columns you need. Ignore columns for cable length, install date, or technician name and import only the identification data. In Professional, you can also select individual cells or non-contiguous ranges.
Do I need a special printer for batch printing?
No. LabelFlex® works with any standard office laser printer. Load the Belden label sheets into your paper tray the same way you would load regular letter paper. The software handles the alignment to the pre-cut labels automatically. No special hardware, cartridges, or calibration is required.
